Find The Policy
For a tax-exempt hospital, start with the financial assistance policy, plain-language summary, application, provider list, and billing and collections policy. These documents explain who may qualify, which services are covered, and what the hospital may do before collections activity.
Hospitals often publish these materials online, but patients can also request them from billing or financial counseling. Ask for the current version that applies to the facility and date of service.

Prepare Documents
Financial assistance applications may request income, household size, residency, insurance status, tax documents, bank statements, benefit letters, or a short hardship explanation. Requirements vary, so ask for the checklist instead of guessing.
Send copies through the approved hospital channel and keep a record of submission dates. If the hospital uses a portal, save confirmation pages or messages showing what was uploaded and when.
Run A Parallel Billing Review
Financial assistance does not replace a line-item review. While the application is pending, ask for an itemized bill, patient ledger, EOB comparison, and explanation of any charge that appears duplicated, bundled, or inconsistent with the visit timeline.
A clear file separates assistance documents from dispute documents. That makes it easier to follow deadlines, respond to missing-information requests, and avoid confusing the hospital's financial counseling team with the billing correction team.
Collections Questions
Ask whether the account can be paused from collections while assistance or billing review is pending. If the account is already with a collector, ask whether the hospital can recall, suspend, or update the account while it reviews eligibility or corrections.
Document the answer in writing when possible. If the response is only by phone, write down the date, representative, department, and next step.
